Schengen Visa Cover Letter: Samples by Traveler Type

Four complete Schengen visa cover letter samples, for a tourist, family visitor, business traveller and H-1B worker applying from the US, plus how to write the itinerary and ties-to-home paragraphs. The visa fee is EUR 90 for adults.

A Schengen visa cover letter is a one-page, signed statement that tells the consular officer why you are travelling, where you will be each night, who pays, and why you will go home on time. The visa itself costs EUR 90 for adults and EUR 45 for children aged 6 to 11, the rate every Schengen consulate has charged since June 11, 2024. The letter costs nothing, and it is often the document that decides whether an officer reads the rest of your file as consistent or contradictory.

No EU regulation lists a cover letter as a mandatory document. The European Commission’s own guidance asks for “supporting documents” on purpose, means, accommodation and intention to return, and leaves the format to each consulate. In practice, most consulate and visa-centre checklists, including those used by France, Italy, Spain, Germany and the Netherlands, ask for a signed letter explaining the trip, and officers expect one even where it is not spelled out.

This guide gives you four complete sample letters, one for each of the most common traveller types: a tourist, a family visitor, a business traveller, and an H-1B worker applying from the United States. Each sample uses a different nationality, country of application and funding arrangement, so you can see how the same structure bends to a different case.

Free toolSchengen Short-Stay Visa Calculator

Before the samples, two sections explain the paragraphs that officers read most closely: the itinerary paragraph and the ties-to-home paragraph. Most refusals that trace back to the letter come from one of those two, either because the itinerary contradicts a booking or because the return plan rests on a single weak claim.

After the samples you will find what consulates actually check against your letter, the mistakes that get applications refused, and practical notes for submitting through VFS Global, TLScontact or BLS International, the private visa centres that handle intake for most Schengen states.

If someone in Europe is hosting you, you will also need their letter. Our Schengen visa invitation letter guide covers what the host must write and the country-specific forms some states require instead.

1

Confirm Your Consulate and the Current Fees

Your letter must be addressed to the right consulate, and the rule is set by the EU Visa Code. Apply to the country where you will spend the most nights. If your nights are split evenly, apply to the country you enter first. You also apply in the country where you legally live: an Indian citizen working in Texas on an H-1B applies to a consulate in the United States, not in India.

You can lodge an application up to six months before travel and no later than 15 calendar days before you leave. Consulates normally decide within 15 calendar days, and that can stretch to 45 days when an officer needs more documents. In peak summer months, the bottleneck is usually the appointment slot, not the decision, so book the visa-centre appointment first and write the letter with your confirmed travel dates.

Schengen Short-Stay Visa Fees (since June 11, 2024)
Adult applicant (12 and older)EUR 90
Child aged 6 to 11EUR 45
Child under 6Free
Nationals of Armenia, Azerbaijan, Belarus (facilitation rate)EUR 35
Nationals of Cabo VerdeEUR 67.50
Maximum visa-centre service fee (half the EUR 90 visa fee)up to EUR 45

The service-fee ceiling comes from Article 17 of the Visa Code, which says a visa centre’s fee cannot exceed half of the standard visa fee. Optional extras such as courier return of your passport, SMS updates or premium lounges are sold separately. Consulates outside the euro area collect the fee in local currency at their own exchange rate, so the dollar, rupee or naira figure can change from month to month.

Tip

Write the embassy name in the letter only after you have checked the consulate’s jurisdiction map. A letter addressed to the Italian Consulate in New York when you live in its Chicago district signals that you have not checked the basics.

2

Build the Letter Around Seven Fixed Elements

Every strong Schengen cover letter carries the same seven elements in the same order, whatever the trip type. Officers read dozens of files a day and look for each element in a predictable place. A letter that buries the dates in paragraph four, or never says who pays, forces the officer to hunt, and an officer who has to hunt is more likely to ask for more documents or refuse.

The Seven Elements of a Schengen Cover Letter
  • Header: your full name, address, phone, email, passport number and nationality, then the consulate name, the date and a subject line naming the visa type
  • Purpose: one specific sentence on why you are travelling and for how many nights
  • Itinerary: exact entry and exit dates, flights, and nights per country and city
  • Accommodation: hotel names or your host’s name and address, exactly as booked
  • Funding: who pays, your income, and a reference to the bank statements attached
  • Ties to home: your job, studies, family, property or business, and the date you must be back
  • Document list and handwritten signature, plus travel medical insurance details

Keep the letter to one page for a simple trip and two pages at most for a multi-country itinerary or a medical case. Type it, write in the first person, date it within two weeks of your appointment, and sign it by hand above your printed name. Your travel medical insurance must cover at least EUR 30,000 in emergency medical care and repatriation across all Schengen states for the whole stay, so name the insurer and policy number in the letter.

3

Write the Itinerary Paragraph So It Matches Every Booking

The itinerary paragraph is where officers start cross-checking. They hold your letter next to your flight reservation and hotel confirmations and compare dates, cities and night counts. Any mismatch, even one night, raises a question the letter should have answered. The paragraph also proves you applied to the right consulate, because the night count per country is visible in one place.

A good itinerary paragraph gives the entry date and airport, the nights in each city with the hotel name, how you move between countries, and the exit date and airport. It does not need a day-by-day sightseeing plan; that can go on a separate attached page if the consulate asks for one. Most consulates accept a flight reservation rather than a paid ticket, so you do not have to buy flights before the decision.

Weak vs. Strong Itinerary Paragraph
WeakStrong
Dates“In April 2027”“Arriving Rome Fiumicino on April 10, 2027, departing Paris CDG on April 22”
Places“Italy and France”“Seven nights in Rome and Florence, five nights in Paris”
Lodging“Hotels”“Hotel names and booking references as on the attached confirmations”
MovementNot mentioned“Train from Florence to Paris on April 17”
Consulate logicNot explained“Italy is my main destination with seven of 12 nights”
Warning

Do not cancel hotel bookings after you get the visa and then travel to a different main country. Since the EU Entry/Exit System went fully live on April 10, 2026, every entry and exit is logged biometrically, and a visa used mainly for a country other than the issuing one can be questioned at the border or on your next application.

4

Write the Ties-to-Home Paragraph With Proof, Not Promises

The Visa Code requires the consulate to assess whether you intend to leave the Schengen area before your visa expires. The ties-to-home paragraph is your direct answer to that question, and it is the section officers read hardest for applicants from countries with high refusal rates. “I promise to return” carries no weight. A dated obligation backed by a document does.

Write two to four concrete ties, each linked to a document in your file. The strongest ties have a date attached: a return-to-work date in an employer letter, a semester start date in an enrolment certificate, a court date, a lease renewal, a child’s school term. Ownership of property, a registered business, dependants living with you, and a history of returning on time from earlier Schengen, UK or US trips all help.

Ties That Carry Weight (and the Document That Proves Each)
  • Permanent job with a return date: employer letter or no objection letter stating approved leave dates
  • Ongoing studies: enrolment certificate and academic calendar
  • Own business: registration certificate and recent tax filings
  • Property: title deed or long-term lease in your name
  • Dependants: birth or marriage certificates for family staying behind
  • Travel history: copies of earlier visas used and returned on time

If you had an earlier Schengen refusal, say so in this paragraph and explain what has changed. Officers can see past refusals in the Visa Information System, and silence about one reads worse than a short, factual explanation. Our Schengen visa rejection appeal letter samples show how to frame that history.

Sample Schengen Cover Letters by Traveler Type

The four letters below are complete and filled in with fictional applicants so you can see the finished product, not just a template of brackets. Names, dates, employers, figures and addresses are illustrative. Replace every one with your own facts and rewrite the sentences in your own words. Consular officers see the same online templates every week, and a letter copied word for word reads as a file assembled without care.

The H-1B letter carries an extra burden that the other three do not: the officer has to be satisfied that you can go back to the United States, not just that you want to. That is why it front-loads the I-797 end date, the visa stamp and the I-94. Many US-based consulates ask that your US status remain valid for at least three months after you leave the Schengen area, so check your consulate’s checklist before you book. If your status is close to expiring or a petition extension is pending, our guide to applying for a Schengen visa with an I-797C explains how consulates treat that situation, and the Schengen visa guide for Indian citizens on H-1B covers the rest of the US filing.

Two other traveller types need adjustments rather than a separate template. A student with no income should name the parent or sponsor in the funding paragraph and attach the sponsor’s declaration, employment letter and bank statements, then make the return date the next semester start. A medical traveller should name the treating hospital, the appointment date and who pays for treatment, and attach the hospital’s appointment letter alongside the referral from a home doctor.

What Consulates Check Against Your Letter

Officers do not grade the letter’s prose. They use it as an index and then test each claim against a document. If a claim has no document behind it, the officer either ignores it or treats it as a gap. The table below shows the pairing an officer runs through on a typical file.

Letter Claim vs. Document the Officer Checks
Claim in your letterDocument checkedWhat triggers a question
Travel datesFlight reservationAny date or airport that differs
Nights per countryHotel or host confirmationMain country in letter is not where most nights are booked
Who paysBank statements, sponsor letterLarge unexplained deposits shortly before applying
Job and leaveEmployer letter, pay slipsLeave dates shorter than the trip
Host relationshipInvitation letter, civil documentsNames or addresses that do not match
InsurancePolicy certificateCover below EUR 30,000 or missing trip days
Lawful residence (US applicants)I-797, visa stamp, I-94, green cardStatus ending soon after the trip

Under Article 14 of the Visa Code, a consulate can also ask for documents beyond its standard list, and under Article 32 it must refuse if the purpose is not justified, the means are insufficient, or there are reasonable doubts about the intention to leave. A letter that ties every claim to an attachment closes off all three grounds before the officer has to raise them. A former officer’s account of the top reasons for Schengen visa rejection lines up closely with this table.

Common Mistakes That Get Applications Refused

1
Dates that do not match the bookings

The letter says April 10 to 22 and the return flight is April 23. Re-read the letter against every confirmation the day before your appointment, after the last booking change.

2
Applying to the wrong consulate

Five nights in France and seven in Italy means Italy. Spell out the night count in the letter so the officer can see the logic.

3
A ties paragraph with no documents

“I have strong family ties” proves nothing. Name the tie, give the date that brings you back, and attach the paper that shows it.

4
Unexplained money in the bank

A large deposit a week before applying looks like borrowed funds. If you sold an asset or received a bonus, say so in one line and attach the proof.

5
Copying a template word for word

Officers recognise stock phrases from popular websites. Use the structure here, but write each sentence about your own trip.

6
Hiding a previous refusal

Earlier refusals are on record. Declare them on the form and address the reason in the letter.

7
H-1B status that ends too soon

Applying from the US with an I-797 that expires a few weeks after the trip invites a refusal or a visa limited to the exact trip dates. Check your consulate’s status-validity rule first.

Submitting Through VFS Global, TLScontact or BLS

Most Schengen states hand intake to a private visa centre. The centre checks that your file is complete, takes your fingerprints and photo, and forwards the file. It does not decide your visa, and staff cannot fix a weak letter. The consulate decides.

In the United States, the provider depends on the country. The Netherlands takes applications through VFS Global centres in Chicago, Houston, Los Angeles, Miami, New York, San Francisco and Washington, D.C. France moved its US intake from VFS Global to TLScontact on April 18, 2025, after which applicants start on the France-Visas site and book with TLScontact; our guide to the TLScontact French visa process in the US walks through it. Other states use BLS International or take appointments at the consulate itself, and providers change, so confirm on the consulate’s own website, not a third-party page.

Visa-Centre Submission Checklist
  • Book the appointment through the link on the consulate’s official site
  • Print the signed application form and the provider’s own document checklist
  • Bring the signed cover letter on top, with attachments in the order the letter lists them
  • Carry originals plus one set of copies of every document
  • Pay the EUR 90 visa fee (in local currency) and the service fee, capped at EUR 45
  • Decline optional extras you do not need; they do not speed up the decision
  • Keep your receipt and tracking number for status checks

Warning

Appointment slots are sold illegally in some markets. Book only through the provider’s site linked from the consulate, never through agents selling guaranteed dates.

After You Submit

Once your file is in, the consulate normally decides within 15 calendar days, longer if it asks for more documents. If the officer asks a question, answer it with a document, not a new letter that repeats the old one. If you are refused, the refusal form ticks the specific ground, and your next letter should answer that ground directly.

For the full document set that should sit behind your letter, see the required documents for a Schengen visa. If you travel to Europe often and keep returning on time, the same letter structure, with a short travel-history paragraph added, supports a request for a multiple-entry Schengen visa of up to five years.

Frequently Asked Questions

Is a cover letter mandatory for a Schengen visa?

No EU regulation makes it mandatory, but most consulate and visa-centre checklists, including those for France, Italy, Spain, Germany and the Netherlands, ask for a signed letter explaining the trip. Officers use it to match your purpose, itinerary, funding and return plan against your documents, so submit one.

How much is the Schengen visa fee in 2026?

The fee is EUR 90 for applicants aged 12 and over and EUR 45 for children aged 6 to 11, unchanged since June 11, 2024. Children under 6 pay nothing. Visa centres such as VFS Global or TLScontact may add a service fee capped at half the visa fee, or EUR 45.

Which embassy should I address my Schengen cover letter to?

Address it to the consulate of the country where you will spend the most nights. If nights are split evenly, use the country you enter first. You must also apply in the country where you legally live, so an H-1B worker in the US applies to a consulate in the US.

What should an H-1B holder include in a Schengen visa cover letter?

State your nationality, US address and H-1B status, then list your I-797 approval notice end date, visa stamp and I-94. Add your employer’s approved leave dates and return-to-work date. Many US-based consulates want your US status valid at least three months after you leave the Schengen area.

How long should a Schengen visa cover letter be?

One page for a single-country tourist, family or business trip, and two pages at most for a multi-country itinerary or medical travel. Type it, write in the first person, date it within about two weeks of your appointment, and sign it by hand above your printed name.

What insurance do I need to mention in a Schengen cover letter?

Name your insurer and policy number. The Visa Code requires travel medical insurance with at least EUR 30,000 of cover for emergency medical care and repatriation, valid in all Schengen states for the whole stay. A policy below that amount or missing trip days is a common reason for questions.

How early can I apply for a Schengen visa?

You can apply up to six months before travel and no later than 15 calendar days before departure. Consulates normally decide within 15 calendar days, extendable to 45 when more documents are needed. In busy seasons the appointment slot is the bigger delay, so book it first.

Should I mention a previous Schengen visa refusal in my cover letter?

Yes. Past refusals are recorded in the Visa Information System, so declare it on the form and address it in the ties-to-home paragraph. Explain what has changed since, such as a new job, higher savings or property, and attach the documents that prove it.
