Short filenames reduce the first avoidable upload failure

The agency’s safest naming rule uses only A–Z, a–z, 0–9 and underscores. Applicants should avoid accents, cedillas, punctuation, symbols and repeated dots.

A filename should identify the evidence without forcing a reviewer to open every file. Generic names such as final.pdf, scan0001.pdf and WhatsApp Document 2026-07-27.pdf make that harder.

Names such as Cópia do passaporte – José.pdf, documento final!!!.pdf and AIMA#[email protected] carry unnecessary technical risk. A browser may rename the file, create an invalid path or fail to attach it correctly.

A simplified filename does not change the applicant’s legal name. Someone legally named João Luís da Conceição can use Passaporte_JoaoConceicao.pdf, while retaining the full name inside the application and supporting documents.

Passport and card scans need to show the complete document

The passport information page should appear in colour, with the photograph, name, birth details, passport number, nationality, issue and expiry dates, and machine-readable lines visible. All four edges should remain in the image.

Do not crop the coded lines at the bottom. They form part of the identifying information.

Glare from a ceiling light or phone flash can obscure the passport number or expiry date. Black-and-white copies may also make security features and alterations harder to distinguish. Screenshots and repeatedly forwarded images lose quality.

A practical scan target is approximately 300 dpi, in colour, upright and without shadows, fingers or filters. After creating the PDF, open it on another device and check that every number remains readable at normal screen size.

Upload the current passport when the old one has been replaced. Keep the previous document if the card or original case refers to its number, and provide it when the portal or notification requests continuity evidence.

Do not send all 40 pages of a passport unless the agency asks for them. Keep relevant visas, stamps or travel pages separate from the information page when a particular requirement calls for them.

The residence card should normally be scanned on both sides. The reverse can contain the permit category, legal observations, card number, validity information or other identification details.

The cleanest format is a two-page PDF: the front on page one and the back on page two. Do not photograph the card inside reflective plastic, cut off its number or upload a messaging-app thumbnail.

Family members should have individually labelled files, such as CartaoResidencia_Applicant.pdf, CartaoResidencia_Spouse.pdf and CartaoResidencia_Child1.pdf.

One logical evidence category belongs in each file

Applicants should combine pages that belong to one document, but keep different requirements apart. All pages of one employment contract can share a PDF. So can three consecutive payslips, a complete bank statement, or a certificate with its authentication page.

The passport, card, employment contract, accommodation evidence and tax certificate should not become one giant file. A 70-page document called Documentos.pdf can exceed a size limit, hide an unreadable page and force a reviewer to locate each requirement manually.

The opposite mistake also causes trouble. Splitting every page separately can exceed the permitted attachment count and separate pages that should be read together.

The useful balance is one organised file for each evidence category. Keep an applicant’s documents separate from a spouse’s documents, and keep a response letter separate from the evidence attached to it.

Upload limits change with the platform

Applicants should follow the instructions displayed in the account handling the case. The limits are not uniform.

For certain pending concession proceedings handled through the online contact form, the subject must be “Residence Permit” and the subtype must be “Sending documents to be added to ongoing proceedings only at AIMA.” Each file may be up to 10MB, and the submission must contain between three and five files.

That route requires the process number shown on the application receipt. It does not apply to cases already handled through the Renewals Portal or services.aima.gov.pt.

The ARI portal requires PDF documents and currently states a maximum of 4MB per document. The Renewals Portal and the Mission Structure services platform may show different fields, formats and limits.

If a PDF is too large, remove blank pages, trim unnecessary background and reduce image resolution moderately. Reopen the compressed file before submitting it. Passport numbers, payment figures and signatures must remain legible.

A password-protected file may prevent the agency from opening it. Remove the opening password unless the relevant portal expressly provides another method.

Digitally signed files require the opposite treatment. The agency confirmed in May 2026 that legally valid electronic signatures can be used in online procedures, including the Portuguese Citizen Card, Chave Móvel Digital and SCAP where applicable.

Download the original signed PDF, check that its signature validates and preserve its original format. Printing and rescanning may leave a visible signature while removing the electronic certificate that proves authenticity.

The correct portal depends on the expiry date and permit category

The Mission Structure platform covers many cards that expired between February 22, 2020 and June 30, 2025. After confirmation and payment, eligible applicants receive instructions for uploading documents and, where necessary, attending a biometric appointment.

That route excludes categories including CPLP permits, ARI permits and EU residence cards, which use their own channels.

As of July 2026, the Renewals Portal covers cards expired or expiring from July 1, 2025 through October 31, 2026. It also supports qualifying ARI renewals and permanent-residence certificates or cards for EU nationals and relevant family members.

The agency began making ARI renewal submission and fee payment available through the Renewals Portal in February 2026. The dedicated ARI portal still contains application and document-upload functions for relevant cases.

A general contact form is not a substitute for the portal connected to the case. A document sent elsewhere may never attach to the correct process.

A document request requires a targeted response

Read the entire notification before preparing a reply. Confirm the process number, applicant name, requested document, submission channel, deadline and whether the agency requires an original, certified copy, translation or authentication.

The notice may identify an unreadable scan, expired evidence, inconsistent information, insufficient accommodation proof, missing tax or Social Security compliance, an identity question or updated biometrics.

Use the deadline written in that notice. Different requests may provide different response periods.

For an eligible pending concession case processed directly by the agency, the contact form requires the process number and scanned copies of the missing documents. Cases in the Renewals Portal or Mission Structure platform must use their connected channels instead.

A short first file can be named 01_RespostaAIMA.pdf. It should identify the applicant’s full name, date of birth, nationality, passport number, card number, process number and notification date. It should also list the attached documents and briefly explain any unavoidable discrepancy.

Answer the precise deficiency. A request for accommodation evidence is not answered by resending only a passport. A request for an updated employment contract is not answered by sending an old contract with an unexplained bank statement.

If the requested document cannot be obtained, explain why and provide the strongest lawful alternative evidence.

Accommodation, income and identity evidence must align

An address requires more than a utility bill. AIMA’s current guidance allows an address declaration supported by proof of the legal basis for occupying the property.

That proof may include property-registration evidence for an owner or usufructuary, or a landlord or accommodation-provider declaration explaining the right of occupation. A prepared file may contain the address declaration, lease or landlord declaration, recent rent receipt, property-registration evidence where relevant, and the landlord’s identification.

Tax and Social Security records should be current. Check the applicant’s NIF, NISS, name, passport number and address, and resolve outstanding debts or establish an accepted payment arrangement where legally sufficient.

Upload the actual certificate or official statement requested, not just a screenshot of an account homepage.

The document list varies by category. Employed applicants may need a contract, employer declaration, three recent payslips, Social Security contributions, tax compliance, accommodation and health or SNS evidence. Self-employed applicants may need activity records, service contracts, green receipts, a tax return, bank statements and compliance certificates.

Students may need enrolment and academic-progress records, tuition payment, means of subsistence, accommodation, health insurance and scholarship evidence. Family applications may require the sponsor’s document, relationship records, accommodation, means of subsistence and updated civil-status records.

Permanent-residence cases may also require five years of legal residence, tax and Social Security compliance and basic Portuguese-language knowledge.

Names must match across the passport, card, visa, contract, tax records, Social Security records, lease, bank statements and online profile. Differences in name order, surnames, married names or transliteration can trigger identity checks.

Where a difference is genuine, attach evidence such as a marriage certificate, legal name-change document, naming-convention declaration, old and new passports or a certified translation.

Keep proof and avoid duplicate submissions

Save the notification, uploaded files, completed-upload screenshots, submission confirmation, payment receipt, email acknowledgement, submission date and time, and every reference number.

The receipt can become important if the status fails to update or the agency later says that evidence was not received.

Do not respond to silence by opening a second renewal, switching between multiple profiles or sending conflicting document sets through email, a lawyer’s account and several portals. The agency’s appointment guidance tells applicants to send a request only once rather than duplicate the same communication.

When a correction is necessary, label it clearly, for example Updated_EmploymentContract_Replaces_File03.pdf.

An expired card does not automatically end the right of residence for many third-country nationals. Under the applicable regulatory rule, that right can continue for up to six months after expiry, and applicants with an initiated renewal should carry the expired card and submission receipt.

That protection does not guarantee smooth international travel. Airlines, foreign border authorities, transit countries and other Schengen countries may not treat an expired card and local receipt like a valid card.

The 21-day figure belongs to a different process

The Regulated Labour Migration Cooperation Protocol, created in April 2025, established a structured recruitment channel for foreign workers with employment contracts. It does not create a new visa category or remove legal visa requirements.

The European Commission reported in July 2026 that 1,163 applications had been processed under the protocol by early 2026, with visas issued in an average of 21 days against a planned 30-day timeframe.

That figure concerns participating employers, business organisations, consular authorities, the agency and other public bodies. It is not a general renewal standard, and it does not promise a 21-day decision for family, student, digital-nomad, investor or ordinary renewal cases.

A clean upload can remove technical delays. It cannot replace eligibility checks, criminality checks, accommodation review, means-of-subsistence evidence, tax compliance or Social Security verification.

Before submission, confirm the channel, process number, name, passport validity, card sides, document category, filename, format, size, signature, translation, authentication, current income evidence and accommodation basis. Then save the proof.

The immediate objective is a complete, readable file attached to the correct process. The next step is to keep that record until the case is resolved.
