VFS Global is a service provider for government and diplomatic missions worldwide, facilitating various visa, passport, and consular services. When users need to cancel their application or seek a refund for erroneous submissions or changes in plans, navigating the VFS refund policy can be challenging given its complexity and the lack of a straightforward online cancellation option. Below is an extensive guide detailing the steps necessary to go about canceling an application and requesting a refund.

Cancellation and VFS Refund Policy Process

VFS Refund Policy in the USA: Detailed Overview
VFS Global is a service provider for government and diplomatic missions worldwide, facilitating various visa, passport, and consular services.

There are no direct online methods for canceling your application once it has been submitted and paid for. Corrections to applications, such as amending an error in your home address, require a complete cancellation and reapplication. Here’s how you can start the cancellation and refund process:

  • Via Email:
  1. Send an email to the VFS dedicated support center at [email protected].
  2. The subject line should contain your VFS application reference ID.
  3. Clearly state the reason you wish to cancel and request a refund.
  4. A typical reason might be:
"I wish to cancel the application due to an error in the USA home address. A new application has been created and paid for, as suggested by your service center. Please cancel the original application as it is no longer required."
  • Via Refund Request Form:
  1. Fill in the specified refund request form provided by VFS.
  2. Upon submission, VFS generally responds within 24 hours prompting you to provide debit/credit card details via a PDF form they provide.

The clarity on the amount that will be refunded is usually not provided upfront and VFS’s responses may vary.

Refund Eligibility Based on Application Status

The refund eligibility for various fees depends on the exact status of your application. Here’s a detailed breakdown:

Before Shipment of Documents to VFS:

Fee TypeRefundable Status
Consular FeeRefundable
ICWF FeeRefundable
CKGS FeeRefundable
Convenience ChargesNon-Refundable
ShippingConditional
SMS ServicesRefundable
Other Value-Added Services (VAS)N/A

After Submission to Indian Consulate (But Not Sent):

Fee TypeRefund Status
Consular FeeRefundable
ICWF FeeRefundable
Service Provider FeeNon-Refundable
Convenience ChargesNon-Refundable
ShippingConditional
SMS ServicesNon-Refundable
Other Value-Added Services (VAS)Non-Refundable

After Application is Sent to Indian Consulate:

Fee TypeRefund Status
Consular FeeNon-Refundable
ICWF FeeNon-Refundable
Service Provider FeeNon-Refundable
Convenience ChargesNon-Refundable
ShippingConditional**
SMS ServicesNon-Refundable
Other Value-Added Services (VAS)Non-Refundable
  • Please note “Conditional” implies the refund depends on specific terms set out by VFS.

Additional Considerations in the Refund Policy

VFS explicitly states that there will be no refunds under the following circumstances:

  • The Mission rejects the application.
  • A reapplication is requested by the Mission.
  • Delays in processing by the Mission.
  • Travel dates missed due to non-receipt of Passport.
  • Various losses incurred due to delays like employer/self, deportation, etc.
  • Lost/damaged passports during transit with the shipping company.
  • Changes in Passport fees enacted by the Mission.
  • Cancelling travel bookings due to delays or rejections of the application.
  • Costs related to traveling to VFS centers for Passport collection.

Refund Processing Time and Fees

The normal processing time for refunds is estimated at 15 business days, excluding those related to shipping services. Other conditions affecting refunds include:

  • Convenience Charges: Solely applicable for credit card payments and are non-refundable.
  • Check/Cheque Refunds: An extra charge of $1.90 is applied to refund transactions using checks.
  • Stop Payment Penalties: If customers stop payment on their personal bank checks, VFS will not be responsible for any resultant bank charges.
  • Shipping Fees: May be refunded conditionally, based on VFS’s terms.

In summary, the VFS refund policy requires an understanding of the specific status of your application and the associated fee type. Emails and refund forms are the primary methods for beginning the cancellation and refund process. The refundable amounts may vary based on the stage of the application process and the type of service fees paid, with certain fees being non-refundable under any circumstances.
